How to get past the ATS
A plain-English guide to how applicant tracking systems read your resume, and how to make sure yours gets through.
What is an ATS?
An applicant tracking system is the software most companies use to collect and manage job applications. When you hit apply, your resume usually goes into an ATS first, not to a person. The system parses your resume into structured fields, stores it in a database, and helps recruiters search and rank candidates, often against the job description.
How it filters applications
- Parsing. The ATS breaks your resume into fields: name, contact, work history, education, skills. If your formatting confuses the parser, your experience can land in the wrong place or get lost.
- Keyword and skill matching. Recruiters search and rank by the terms in the job description. Resumes that use the same language as the posting surface higher.
- Knockout questions. Screening questions (work authorization, years of experience, location) can filter you out before a human reads a word.
Why strong candidates get rejected
Common reasons a qualified applicant never gets read:
- the resume describes the same skill in different words than the job post, so it does not match on search;
- heavy formatting (tables, columns, text boxes, images, headers/footers) breaks parsing;
- non-standard section headings the parser does not recognize; and
- a generic resume sent to every role instead of one tuned to each job.
How to get through
- Tailor to the job. Mirror the important words and skills from the posting, where they are genuinely true of you.
- Keep formatting clean. Single column, standard fonts, no tables or graphics for essential content, and put contact details in the body, not a header image.
- Use standard headings.“Experience”, “Education”, “Skills” parse reliably.
- Quantify impact. Numbers make your bullets specific and credible to both the ATS and the human after it.
- Export in a parseable format. A clean PDF or Word file from a tool that keeps the text machine-readable.
